How Humming Tales handles your information

Information we collect

• Enquiries and trial requests: names, contact details, age information where relevant, preferred time and location, and the content of WhatsApp, SMS or email messages.
• Admission: student and parent, guardian or billing name; email; phone; birth month and year; agreed lesson option, location and weekly slot; media choice; and Studio Policies acceptance.
• Lesson administration: attendance, cancellations, make-up credits, lesson progress, calendar records and relevant correspondence.
• Payments: payment amounts, dates, payer labels, matching records and information required for bookkeeping or tax obligations.
• Student media: photographs or short videos only where the required permission choice is Yes.
• Website information: essential browser or device information needed for Wix hosting, form submission, security and basic site operation.

Why we use it

Information is used to answer enquiries, arrange trials, provide and administer lessons, maintain attendance and make-up records, communicate with students, parents and guardians, process and reconcile payments, meet legal and accounting obligations, protect the studio and operate the website.

Depending on the situation, the legal basis is taking steps toward or performing the lesson agreement, meeting a legal obligation, Humming Tales’ legitimate interest in running and protecting the studio, or consent. Public use of identifiable student photographs and videos is based on the separate Yes/No permission choice.

Children and the media choice

If the student is under 18, their parent or legal guardian chooses Yes or No for identifiable photographs and videos. Adult students choose for themselves. Choosing No does not affect lessons.

Photos and short videos help us introduce Humming Tales to new students, parents and guardians, so permission is greatly appreciated. Permission may be withdrawn at any time by contacting info@hummingtales.com.

What happens when media permission is withdrawn

Photographs and videos may remain on the Humming Tales website and social-media accounts while permission remains valid. If permission is withdrawn, Humming Tales will stop new uses and remove content in which the student is identifiable from the website and social-media accounts under its control within a reasonable period. This includes controlled posts, Reels and Highlights. Copies, reposts or saved material outside the studio’s control may not be removable.

How long we keep information

We retain personal information only for as long as reasonably necessary for running the studio, maintaining lesson and payment records, responding to questions, or meeting legal obligations. The period depends on why the information is held:

• student and admission information is kept during the lesson relationship and afterward where reasonably needed for administration or a legal claim;
• lesson messages and correspondence are kept while useful for scheduling, payments, make-ups or agreed arrangements;
• financial and accounting records are normally kept for seven years where Dutch tax rules require it;
• student media is handled according to the permission and withdrawal terms above; and
• technical records are kept according to the settings and retention periods of the service providers involved.

Service providers and sharing

Information may be handled through Wix for website hosting and forms; Google services for calendars, spreadsheets and studio administration; communication services such as WhatsApp, SMS and email; and banking, bookkeeping or professional advisers where needed. Information may also be shared when required by law. Humming Tales does not sell or rent personal information.

Some providers may process information outside the European Economic Area. Where this happens, their applicable contractual or legal transfer safeguards are relied on.

Private studio dashboard

Attendance, progress, payment and make-up records may be shown in a restricted owner dashboard used only to manage the studio. The dashboard is not listed in the public navigation and its underlying records remain protected by account access controls.

Cookies, local storage and analytics

The website uses only storage and technical data needed for core functions such as Wix form submission and security. Advertising or marketing analytics are not currently enabled. If that changes, this notice and any required consent choices will be updated first.

Your privacy rights

You may ask for access to your information, correction of inaccurate information, deletion where applicable, restriction or objection to certain uses, or a portable copy where the law provides this right. You may withdraw consent at any time without affecting earlier lawful use.

Send requests or questions to info@hummingtales.com. If a privacy concern cannot be resolved, you may complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Third-party links and messages

Links that open WhatsApp, SMS, email or another third-party service are governed by that provider’s privacy practices. The pre-filled message remains under the visitor’s control and can be edited before it is sent.

Updates to this notice

This notice is effective from 1 September 2026. It may be updated when studio practices, website services or legal requirements change. Significant changes will be communicated whenever reasonably possible before they take effect, and the current version will remain available on this page.
